Job Description Office Specialist (USA-Somerset-NJ) - ( 20008655 ) Description Summary: Performs advanced administrative and project related functions as needed in support of the Company and/or residing office location. Essential Functions:

  • Provides administrative support related to overall office functionality including support to Finance, Human Resources, Information Technology (IT), and Legal departments and/or administrative support to management and staff as applicable in respective country office location.
  • May serve as the primary contact for vendor services which may include coffee service, food and drink vending machines, overnight courier, office supplies, and recycling/documenting shredding services. Ensures the most cost-effective method is used and offers alternative solutions as practical.
  • Oversees and maintains shipping/receiving and mailroom/distribution, including the requisition, and storage of shipping materials. Maintains general storage areas, as necessary.
  • Oversees building safety and security by issuing and tracking ID badges as well as coordinating annual and semi-annual fire safety measures.
  • Oversees coverage of reception desk and main telephone line. May serve as primary receptionist as necessary.
  • Maintains up-to-date seating chart and floor plans. Monitors seating and space capacity and provides updates to Corporate Services and site head. Liaises with department management for new hire placement within the facility and ensures workstation readiness with IT contact.
  • Provides communication to all employees regarding building issues as requested by the Corporate Services department and serves as the office lead for building evacuations and life/safety/security issues and procedures as applicable in respective country office location. Assists in the elaboration and updates of the local Business Continuity Plan and Facility Manual.
  • Addresses or gains respective property management assistance on all Corporate Real Estate Services related requests/helpdesk tickets submitted by employees and/or visitors of the Company.
  • --Assists with local logistics of office moves as applicable in respective country office location.
  • Contributes to maintaining and evaluating budgets, General and Administrative (G&A) expenses, and capital expenses including purchase requisitions and related invoices for all site services.
  • --Assists with sponsor audits at on-site locations.
  • --Assists with logistics for department and customer meetings. Qualifications Requirements : High school diploma; or equivalent education and experience. Moderate experience providing specialized administrative support. Some college courses preferred. Proficiency utilizing Microsoft Office Suite (Word, Excel, Power Point), voicemail, email and Outlook calendar. Accurate and efficient keyboard skills are necessary. Ability to tactfully and effectively work with all levels of employees and maintain confidentiality is necessary. Highly effective verbal, written, interpersonal, and team-oriented skills.
